MOQ, Samples and Lead Times: What to Expect When Ordering Umbrellas

Typical MOQs, sample times and production lead times for umbrella orders, what changes them, and how to plan a delivery date that works.

For most catalogue umbrellas at Lotus, expect a minimum order of 500 pieces, samples in about 3–7 days and bulk production in about 30 days after payment. Some models list lower MOQs or shorter lead times, while custom fabrics, prints and packaging can add time. When you plan a delivery date, allow for sample shipping, approval and freight as well.

What MOQ means for umbrella orders

The minimum order quantity (MOQ) is the smallest number of pieces a factory will produce in one order, usually per model and design. It exists because several of the inputs have minimums of their own:

  • Fabric is dyed and finished in lots, so a custom colour needs enough metres to justify a run.
  • Screen printing needs a screen for each colour and print position, a fixed cost that is spread across the order.
  • Custom handles, gift boxes and printed sleeves have their own production minimums.
  • Setting up a line for a new model takes time, whatever the quantity.

What moves the MOQ

Choices that rely on standard parts tend to keep the minimum low: stock fabric colours, an existing frame and handle, and a simple logo. Custom-dyed fabric, a new handle shape, special fabrics and bespoke packaging usually push it up. When you compare quotations, ask:

  • Does the MOQ apply per model, per colour or per design?
  • Can several colours be combined to reach it?
  • Is a smaller trial order possible, and at what unit price?

Samples: types, timing and approval

Not every sample serves the same purpose, so be clear about which one you are asking for:

  • Stock sample: an existing model, used to check size, weight, materials and finish.
  • Logo sample: a stock model printed with your artwork, used to check print position, size and colour.
  • Pre-production sample: made with the confirmed fabric, frame, handle, print and packaging. Once approved, it is the reference for production and inspection.

Before samples are made, it is worth agreeing who pays for the samples and the courier, and whether any sample charge is credited against the bulk order. Settling this in writing at the start avoids awkward conversations later and keeps the approval step moving.

Making approval quick

  • Send vector artwork, Pantone references and your packaging requirements with the inquiry, not after the sample arrives.
  • Check the sample against the specification: rib length, canopy size, fabric, colour, print position, handle and packing.
  • Open and close the umbrella repeatedly and wet the canopy before you approve.
  • Collect feedback from everyone involved and send one consolidated reply. Several rounds of small changes can take longer than making the sample itself.
  • Confirm approval in writing and keep a sample as your reference.

Lead times: from approval to shipment

Production lead time at Lotus is typically 30 days after payment for most models. Some models list 20–25 days, and some list 10–35 days after order confirmation, depending on the product and quantity. The EVA rain coat below, for instance, lists samples in 5–7 days and production in 20–25 days.

Several things can extend the production window:

  • Custom-dyed fabric or special materials that have to be sourced for your order.
  • Complex printing, such as many colours or full-canopy artwork.
  • Custom gift boxes and printed packaging.
  • Changes after approval, which often send the order back a step.
  • Peak periods. Many factories in China close for several weeks around Chinese New Year, usually in late January or February, and capacity is tight in the weeks before the holiday.

Before packing, each order goes through a final inspection with AQL 2.5 sampling that covers waterproofing, UV coating, wind resistance and finish. Planning backwards from your delivery date

The safest way to set a schedule is to start with the date the umbrellas must reach your warehouse and work back: freight time from your forwarder, then production, then sample approval, then artwork. Add a margin for public holidays and for one extra sample round. If the date is tight, choose a catalogue model with a stock fabric colour and a simple print, which usually keeps both the MOQ and the lead time at their lowest.

Repeat orders

A repeat of an approved umbrella is usually simpler than a first order. The artwork and the approved reference sample already exist, and printing screens can often be reused, so there is less to set up and less to approve. A few points still deserve attention:

  • Quote the item number and the approved sample, so the repeat follows the same specification.
  • Ask for the fabric to be matched to the approved colour, because shades can vary slightly between dye lots.
  • Confirm any change to quantity, packaging or labelling in writing before production starts.
  • Place repeat orders early ahead of busy periods, when factory capacity is in demand.

Questions to settle before you confirm

  • Which MOQ, sample time and lead time apply to the exact model, colour and print you want?
  • Does the lead time start from payment, from order confirmation or from sample approval?
  • Which sample will you approve, and who keeps the reference sample?
  • Which packing method and carton quantity have been agreed?
